JOB TITLE: Assistant Payroll Manager FLSA: ExemptREPORTS TO: Director of Operational SupportSUMMARY:The Payroll Manager is responsible to accurately coordinate, direct and control payroll preparation, processing, and distribution for all companies. This position will assist in enhancing organizational effectiveness by aligning Payroll with functional goals and business strategies to ensure accuracy with payroll processing.ESSENTIAL DUTIES AND RESPONSIBILITIES:"Essential functions" are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.Supervise and guarantee weekly disbursement of multi-state and Canadian payroll, including garnishments, benefit deductions, and taxes consistent with federal and state wage and hour laws.Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates etc.Critically review and analyze current payroll and tax procedures in order to recommend and implement changes leading to best practices.Active facilitator of audits of W-2s, YTD earnings, and all other payroll related transactions.Communicate actively with CFO and other Senior Managers to review cross-departmental impacts and reconcile data sharing.Ensure systems are set up and updated to reflect our current employee base, including wages, benefits, and paid time off accruals.Oversee regular preparation of relevant management reports, including weekly, monthly, quarterly, and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.)Answer phones and assist caller with payroll issues.Assist employees in using Payroll site.Filling out payroll related documents.KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:Three to five years' experience supervising a multi-state payroll department.ADP Workforce Now system experience preferred.Proficient with Microsoft Office, especially Excel.Experience with uploading paydata from other IT systems a plus.Ability to manage weekly payrolls that are not always consistent.Full cycle payroll experience.Ability to rapidly analyze issues, establish priorities, anticipate consequences, make decisions, and initiate action.Excellent record-keeping skills, reporting on trends and effective corrective actions being taken.Comfortable working in a high-stress environment and ability to stay calm under pressure.Strong interpersonal skills to develop and maintain positive relationships with staff and auto haulers.Strong communication skills (oral, written and listening).Team player.Attention to detail and accuracy a must.Work occasionally requires a high level of mental effort and strain when performing essential duties. Must be able to perform the essential duties of the position with time constraints, interruptions and stressed dispatchers and auto haulers.Work may require more than 40 hours per week.Able to multi-task and take on multiple priorities at one time.PHYSICAL DEMANDS:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. There is the need to frequently walk. There will be a moderate amount of standing, stooping, kneeling, bending, lifting and reaching for some of his/her job duties.Visual requirements include reading off a computer screen as well as printed materials. A high degree of dexterity is required due to frequent use of a telephone console.Verbal and auditory requirements include the ability to communicate clearly over the telephone as well as in person.There is a moderate level of grasping, lifting, pushing and/or pulling of objects of less than 25 lbs.This Job Description is intended to describe the general content of and requirements for the performance of this position.
