Job Title: Practice Operations Lead

General Responsibilities:













The Practice Operations Lead works under the Practice Manager and Practice Director and functions in a lead capacity in the operational aspects of the practice. The Lead works in support of the daily operations, delivering special projects, providing back-up support for practice management, and helping drive strategic priorities. The Practice Operations Lead is responsible for assisting the Practice Manager or Director in maintaining the daily flow of the practice and ensuring the necessary resources are available to support optimal practice flow.













Qualifications:













Required Qualifications:





* Minimum of 2 years' experience in front desk, or equivalent, operations of a large medical practice





* Ability to handle multiple projects and meet deadlines with minimal supervision





* Ability to prioritize workflow and handle multiple demands





* Familiarity with office equipment and procedures





* Advanced skills in Microsoft Office software programs











Preferred Qualifications:





* Bachelors or Associates Degree

Significant Job Functions:













* Coordinates with Practice Manager and Director to implement current initiatives and strategic priorities.





* Provides oversight for the daily practice operations within area of responsibility, ensuring standards of access, service and costs are met.





* Keeps Practice Manager and Director updated on significant operational issues that require escalation.





* Handles urgent requests and immediate needs in the absence of the practice leaders and managers.





* Ability to work with external partners and vendors. Acts as point-of-contact for coordinating with public and staff on focused special events within the practice.





* Provides detailed practice site tours with various stakeholders as required.





* Coordinates various practice meeting agendas and participates in meetings to provide minutes for practice departments.





* Helps maintain practice compliance with all policies, procedures, and regulatory and compliance requirements.





* Assures appropriate staff coverage including back-up coverage by actively participating in the coverage model.





* Provides administrative support for all practice departments.





* Monitors inventory and procurement activities. Works with Facilities and Finance to secure supplies and equipment necessary to operations.





* Assists with facility management and maintenance as necessary.





* Performs special projects such as analysis and presentation of data in spreadsheets, graphs, or tables; preparation of PowerPoint presentations; coordination of grant applications.





* Performs other general office duties including filing, faxing, copying, mail, banking, and distribution of supplies





* Supports and promotes the mission and values of Thundermist.





* Other duties as consistent with this role.













Physical Effort/ Environment:













* Onsite





* Position requires extensive computer use. Must be able to sit for long periods of time, and at times, lift packages of up to 30 pounds.





* Occasional travel to pick up or deliver correspondence/packages.





* Must be familiar with a copy machine, fax machine, postage meter, and a multiple incoming line telephone.



















Work Schedule Demands:













* Full time position. Typical schedule would be weekdays, normal business hours, with exceptions for special projects or events.













Communication Skills:













* Must possess good oral communication skills, telephone skills, and written skills.





* Some writing is required including correspondence, interoffice communication.
