HERFF JONES, Customer Service Representative Warwick, RI Job Summary: The Customer Service Representative is pivotal to supporting our Sales Partners that serve the K-12 grades across the country. As part of the overall customer service and experience team, there are three major objectives of this position: to process and enter sales orders in a timely manner, to provide accurate information to the production team when needed and to provide support and care to customers and sales representatives to build and maintain relationships. Specific Responsibilities: Review and process orders received through multiple channels such as online and through order forms with accuracy Communicate throughout the entire order cycle including status of order and confirmation of order details, including follow up on shipping and devlivery information Maintain professional communication and working relationship with customers, including being responsive and providing a quick turnaround on questions or concerns A positive attitude with a focus on learning the complete product cycle to better service the customer (schools and administrators) and sales representatives Manage invoice and billing adjustments for shipped and return products Work with students, parents and sales representatives in the design and development of new customized items as needed Engage professionally in phone and email communications in a timely and knowledgeable manner Focus on first-contact response to inquiries from customers and potential customers needing information about our products and programs Maintain physical files for entered orders and shipping records Maintain digital files for customer and product in order systems and databases Minimum Qualifications: At least one year in a previous customer service or customer-facing role Must be able to handle multiple tasks and work with multiple product lines in a fast paced, team environment Must possess strong attention to detail and time management skills Demonstrate success managing multiple processes and tasks at at ime with strong organization and detail skill Must speak and read English Must possess above average written communication skills Must be able to perform basic mathematical functions Must be proficient in Excel and Word Physical Demands: Must be able to enter orders electronically while taking information over the telephone, online or from paper order forms Must be able to spend long periods of time working at a computer Must be able to easily move to and from various departments within the building THE MOST TRUSTED NAME IN CELEBRATING STUDENT MILESTONES HERFF JONES Herff Jones is the leading provider of graduation and educational products and services designed to inspire achievement and create memorable experiences for students.
